MetaShare’s start page, accessible from this address: https://app.metashare.com, displays a list all workspaces and documents that the logged in user has access to.
Below you find a high-level description of the different elements on this page.
MetaShare’s top bar and scopes bar
On the top of the page you find MetaShare’s top bar:
Here you find these elements, from left to right:
- MetaShare’s logo and name, that when clicked on, will bring you to the default tab (workspaces). If you previously had applied some filters on this page, they will be removed.
- A gear icon, that takes you to MetaShare settings’ page (only shown to MetaShare Content Administrators).
- A help icon, that when clicked on, will give you these 3 links:
- Online help, that takes you to MetaShare’s help pages.
- Open a support case (only shown to MetaShare Content Administrators).
- About MetaShare, that takes you to a page where you can find general information about MetaShare, such as its terms and conditions, its service description and its roadmap.
- A user icon, that when clicked on, will give you these 2 links:
- A link that will take you to your user profile page
- A link to sign you out of MetaShare
Beneath the top bar you have the scopes bar, where you can switch between listing workspaces or documents, where workspaces is the default scope:
The “Workspaces” tab
This is currently the default tab and it looks something like this (you will most likely have other names on your columns and filters):
The page has these 3 areas:
- The main zone presenting a list of workspaces:
- You only see workspaces that you have permission to and they can be of these types:
- MetaShare workspaces have a MetaShare icon:
- SharePoint sites have a SharePoint icon:
- MetaShare workspaces have a MetaShare icon:
- Before MetaShare is configured with your information structure, it only shows standard columns, such as Name, Created and Created by. From MetaShare settings, you can decide which of these to show as columns and and you are can also define which other metadata fields to show as columns in the view, e.g. Status.
- The list shows initially 50 workspaces, and if you scroll to the bottom of the page, the next batch of 50 workspaces will be shown.
- If you have access to less than 50 workspaces, the workspaces are sorted by their names, if you have more than 50 they are sorted by relevance.
- Clicking on a workspace’s name will open the workspace.
- Clicking on a workspace’s metadata values will filter the workspaces on the value.
- Above the list of workspaces you have a search box that allows you to search for workspaces.
- Selecting a workspace will show the workspace’s functions in the toolbar.
- You only see workspaces that you have permission to and they can be of these types:

- Before selecting any workspace in the list, if you have been assigned the MetaShare Workspace Creator role, a you will see the workspace creation function in the toolbar:
- After having selected a workspace, you will see these workspace functions:
- View/edit workspace properties
- Delete workspace (only visible to SharePoint administrators)

The “Documents” tab
This tab looks something like this (you will most likely have other names on your columns and filters):
The page has these 3 areas:
- The main zone presenting a list of documents:
- You only see documents that you have permission to and they can be of these types:
- Documents that reside in a MetaShare workspace
- Documents that reside in OneDrive
- Documents that reside in a regular SharePoint site
- Before MetaShare is configured with your information structure, it only shows standard SharePoint columns, such as File type, Modified & Modified by. From MetaShare settings, you can decide which of these to show as columns and you can also define which other metadata fields to show as columns in the view, e.g. Workspace, Document type & Created by.
- The list shows initially 50 documents, and if you scroll to the bottom of the page, the next batch of 50 documents will be shown.
- The documents are initially sorted by the Modified column (descending order). Once you have conducted a search, the documents will be sorted by relevance.
- Clicking on a document’s name will open the document.
- Clicking on a document’s metadata values will filter the documents on the value.
- Above the list of documents you have a search box that allows you to search for documents.
- Selecting a document will show the document’s functions in the toolbar.
- You only see documents that you have permission to and they can be of these types:
- The left zone, showing workspace filters that you can open and select to filter the workspaces on the value that you select:
- You only see filters and filter values that are applicable to the documents that you have access to, based on any applied filter/search, so selecting any value under a specific filter will always show you at least one document.
- When you open a filter, the values are sorted by relevance (the value with most occurrences will be shown on the top of the filter) and the number of documents matching the value is shown, in parentheses, to the right of the value:
- Once you have filtered/refined on a value, you are able to deselect your filter by clicking on the “X” or by selecting the “All” option:
- If a specific metadata field allows multiple values, you are able to filter on documents that are tagged with more than one value:

- Show in workspace:
- If the document resides in a MetaShare workspace, the function’s name is “Show in workspace”. If you click on it, the document’s workspace will open and a filtering will be applied, just showing the selected document.
- If the document resides in OneDrive, the function’s name is “Show in OneDrive”. If you click on it, OneDrive will open in a separate tab.
- If the document resides in a regular SharePoint site, the function’s name is “Show in SharePoint”. If you click on it, the document’s SharePoint site will open in a separate tab.
