Reason

As you have exceeded the maximum number of matching documents (SharePoint’s list view threshold value of 5 000 documents), we have now switched to a search based view. Documents that recently have been uploaded or modified may therefore not be visible till SharePoint has indexed them (normally this is done within 15 minutes).

Solution

A good approach, when you hit this SharePoint limitation, is to do one of the following actions:

1. Index columns in the workspace. When a certain column has been indexed you will be able to filter on the column even if there are more than 5 000 documents. Unfortunately not all columns can however be indexed. For details about indexing columns, read this article.
2. Decrease the number of documents in the workspace by:
   1. deleting old documents that maybe are not needed anymore.
   2. moving some documents to other workspaces, e.g. archive workspaces.
