By configuring MetaShare to also show <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-define-the-suggested-document-templates\/\">suggested document templates<\/a>, it becomes very easy for the end users to <a href=\"https:\/\/help.metashare.com\/en\/usermanual\/how-to-create-a-document\/\">create new documents<\/a>. By creating documents from MetaShare you also ensure that your documents are stored in&nbsp;SharePoint, from the beginning of the document&#8217;s life cycle, instead of them ending up in the end users&#8217; desktops.<\/p>\n\n\n\n<p>These are things&nbsp;you&nbsp;need to do to configure MetaShare to manage document templates:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Create a document template library for MetaShare&#8217;s document templates and define the path to this document library in MetaShare (<a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-and-define-the-document-templates-library\/\">see requirements and instructions on this page<\/a>).<\/li>\n\n\n\n<li>Upload the document templates to this document library.<\/li>\n\n\n\n<li>Optionally you can configure suggested templates by following <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-define-the-suggested-document-templates\/\">these instructions<\/a>.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">How to upload the document templates to the template library<\/h2>\n\n\n\n<p>If you don&#8217;t know where the templates are located, you can open the location by clicking on the &#8220;Manage document templates&#8221; button in <a href=\"https:\/\/app.metashare.com\/#\/settings\" target=\"_blank\" rel=\"noopener noreferrer\">MetaShare\u2019s general settings<\/a>:<br><img loading=\"lazy\" decoding=\"async\" width=\"732\" height=\"342\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-616.png\" alt=\"Link to MetaShare's document templates\"><\/p>\n\n\n\n<p>If no library is defined in the &#8220;Document template library&#8221; field, you first need to <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-and-define-the-document-templates-library\/\">create and define the document templates&#8217; library<\/a>.<\/p>\n\n\n\n<p>Document templates need to be uploaded to the templates&#8217; library. If the templates are located in a MetaShare workspace, you can upload them using <a href=\"https:\/\/help.metashare.com\/en\/usermanual\/how-to-upload-documents\/\">MetaShare&#8217;s upload function<\/a>, else you upload them using SharePoint&#8217;s upload function.<\/p>\n\n\n\n<p>To minimize the amount of templates shown in MetaShare, when using the <a href=\"https:\/\/help.metashare.com\/en\/usermanual\/how-to-create-a-document\/\">create document function<\/a>, document templates can be uploaded to <a href=\"https:\/\/help.metashare.com\/en\/faq\/how-do-i-set-unique-permissions-on-folders\/\">sub-folders with specific permissions<\/a> in the templates&#8217; library. All documents in these folders will then inherit the permissions of the folders and when&nbsp;users from MetaShare later <a href=\"https:\/\/help.metashare.com\/en\/usermanual\/how-to-create-a-document\/\" rel=\" noopener\">create documents<\/a>, they will just see the templates that they have permissions to.<\/p>\n\n\n\n<p>Templates in the library can be of the following types:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Template-files from Word, PowerPoint and Excel, with these file-extensions:\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>dotx (new documents will get the extension of docx)<\/li>\n\n\n\n<li>potx (new documents will get the extension of pptx)<\/li>\n\n\n\n<li>xltx (new documents will get the extension of xlsx) <\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Regular documents of any other extension (new documents will get the same extension as the templates have).<\/li>\n<\/ol>\n\n\n\n<p>If you have set the templates&#8217; library to be an organizational assets library, making it possible for the <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-and-define-the-document-templates-library\/#how-to-also-make-the-metashare-templates-available-from-office-applications\">MetaShare templates to also be available from Office applications<\/a>, then the templates should be &#8220;real&#8221; document templates (.dotx, .potx, .xltx).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to manage the document templates<\/h2>\n\n\n\n<p>Use cases when working with document templates in the the templates&#8217; library are:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Adding new document templates:\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>Upload the new documents to the library and give them meaningful names.<\/li>\n\n\n\n<li>You might now want to define where these templates should be <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-define-the-suggested-document-templates\/\">set as suggested templates<\/a>.<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Update existing document templates using\u00a0any of\u00a0these methods (in both cases the updated templates will be available directly, without any delay or further actions):\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>Upload updated documents to the library (see to it that&nbsp;they have exactly the same file-names as the templates you want to replace).<\/li>\n\n\n\n<li>Open the document templates from the document library, edit&nbsp;them and save them.<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Remove document templates:\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>Mark&nbsp;the document templates and delete them.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Note<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>The document template&#8217;s &#8220;Title&#8221; field is copied when creating a document from template. The recommendation is therefore to empty this field. This can be done by:\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>For Office documents:\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-roman\">\n<li>Click on the document&#8217;s &#8220;File&#8221; tab<\/li>\n\n\n\n<li>Select &#8220;Info&#8221;, on the left navigation<\/li>\n\n\n\n<li>Clear the &#8220;Title&#8221; property, under the &#8220;Properties&#8221; section:<br><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-3565\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-1049.png\" alt=\"Clear the &quot;Title&quot; property\" width=\"285\" height=\"149\"><\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>For other document-types you can clear the corresponding &#8220;Title&#8221; column from SharePoint (if the Title columns is hidden, make it first optional or mandatory).<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>The person that created an Office document is added to the document&#8217;s &#8220;Authors&#8221; field. This field is also copied when creating new documents from the template. The recommendation is therefore to also empty this field. This is done by:\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>Click on the document&#8217;s &#8220;File&#8221; tab<\/li>\n\n\n\n<li>Select &#8220;Info&#8221;, on the left navigation<\/li>\n\n\n\n<li>Under the &#8220;Related People&#8221; section, select the author you want to delete and select the &#8220;Remove Person&#8221; option:<br><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-3563\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-1050.png\" alt=\"Remove related person\" width=\"357\" height=\"165\" srcset=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-1050.png 357w, https:\/\/help.metashare.com\/wp-content\/uploads\/image-1050-300x139.png 300w\" sizes=\"auto, (max-width: 357px) 100vw, 357px\" \/><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n","protected":false},"excerpt":{"rendered":"<p>Getting started with MetaShare: how to manage metashares document templates.
