You can also configure MetaShare to automatically <a href=\"https:\/\/help.metashare.com\/en\/usermanual\/receive-an-alert-when-a-documents-due-date-has-occurred\/\">alert you when a document&#8217;s due date has passed<\/a>. Within soon, we will also be adding a similar function that enables users to submit a document for reviewal, with the difference that the final reviewed document will not be published.<\/p>\n\n\n\n<p>In the approval process, when the approvers&#8217; require certain changes to be done to a document, they can create comments inside the document and tag the persons that should edit that section. Automatically an e-mail will be sent to the persons that are tagged, with a link to the document (this is an out-of-the box Microsoft 365 feature).<\/p>\n\n\n\n<p>If these 2 workflows do not fulfill your business needs, you can easily create custom flows that trigger on business rules. Depending on which option you choose, you might need to&nbsp;<a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-a-site-column\">create one or several of these custom document metadata fields<\/a>:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>&#8220;Requires approval&#8221;\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>A column that defines whether a document should be sent for approval<\/li>\n\n\n\n<li>Column type: Managed metadata column<\/li>\n\n\n\n<li>Column description: &#8220;If you want someone to review and approve the documents.&#8221;<\/li>\n\n\n\n<li>Values:\n<ul class=\"wp-block-list\">\n<li>&#8220;Yes&#8221;<\/li>\n\n\n\n<li>&#8220;No&#8221;<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Default value:&nbsp;&#8220;No&#8221;<\/li>\n\n\n\n<li>Allow multiple selections = No <\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>&#8220;Approval&#8221;\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>A column that defines the approval status of a document<\/li>\n\n\n\n<li>Column type: Managed metadata column<\/li>\n\n\n\n<li>Column description: &#8220;Defines the approval status of the document.&#8221;<\/li>\n\n\n\n<li>Values:\n<ul class=\"wp-block-list\">\n<li>&#8220;Does not require approval&#8221;<\/li>\n\n\n\n<li>&#8220;Sent for approval&#8221;<\/li>\n\n\n\n<li>&#8220;Approved&#8221;<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Default value:&nbsp;&#8220;Does not require approval&#8221;<\/li>\n\n\n\n<li>Allow multiple selections = No<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>&#8220;Approval date&#8221;\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>A column that could be used to define the date when a document should latest be approval<\/li>\n\n\n\n<li>Column type: Date<\/li>\n\n\n\n<li>Column description: &#8220;The date when the document latest should be approved.&#8221;<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>&#8220;Document approver&#8221;\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>A column that defines who should approve a document<\/li>\n\n\n\n<li>Column type: Person or group<\/li>\n\n\n\n<li>Column description: &#8220;The persons that should review the document before approval.&#8221;<\/li>\n\n\n\n<li>Allow multiple selections = Yes OR No, based on your needs<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>&#8220;Approved by&#8221;\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>A column that defines who has approved a document<\/li>\n\n\n\n<li>Column type: Person or group<\/li>\n\n\n\n<li>Column description: &#8220;The person that has approved the document.&#8221;<\/li>\n\n\n\n<li>Allow multiple selections = Yes OR No, based on your needs <\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>&#8220;Information owner&#8221;\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\">\n<li>A column that defines who is responsible for the content of the document<\/li>\n\n\n\n<li>Column type: Person or group<\/li>\n\n\n\n<li>Column description: &#8220;The person responsible for the content of the document.&#8221;<\/li>\n\n\n\n<li>Allow multiple selections = No<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n\n\n\n<p>You can create a&nbsp;<a rel=\"noreferrer noopener\" href=\"https:\/\/flow.microsoft.com\/\" target=\"_blank\">flow from scratch<\/a>&nbsp;or start with an existing flow template and customize it.<\/p>\n\n\n\n<p>When a document is triggered for approval, the flow can send an e-mail to the document approver(s).
