They are&nbsp;mapped&nbsp;to crawled properties that are used for indexing the content. Follow the following steps to&nbsp;configure&nbsp;your&nbsp;managed properties:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open SharePoint&#8217;s managed properties&#8217; page:\n<ol style=\"list-style-type:lower-alpha\" class=\"wp-block-list\">\n<li>Go to&nbsp;<a href=\"https:\/\/help.metashare.com\/en\/usermanual\/metashares-start-page\/\">MetaShare&#8217;s start page<\/a>.<\/li>\n\n\n\n<li>Click on the &#8220;<a rel=\"noreferrer noopener\" href=\"https:\/\/app.metashare.com\/#\/settings\" target=\"_blank\">Settings<\/a>&#8221; function in the top bar:<br><img loading=\"lazy\" decoding=\"async\" width=\"134\" height=\"42\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-769.png\" alt=\"MetaShare's settings icon\"><\/li>\n\n\n\n<li>Click on &#8220;Search properties&#8221; in MetaShare settings&#8217; left navigation menu and then on &#8220;managed properties&#8221; link, on the top of the page:<br><img loading=\"lazy\" decoding=\"async\" width=\"1032\" height=\"557\" class=\"wp-image-9429\" style=\"width: px\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/How-to-access-SharePoints-search-schema-from-MetaShare-settings.jpg\" alt=\"How to access SharePoint's search schema from MetaShare settings\" srcset=\"https:\/\/help.metashare.com\/wp-content\/uploads\/How-to-access-SharePoints-search-schema-from-MetaShare-settings.jpg 1032w, https:\/\/help.metashare.com\/wp-content\/uploads\/How-to-access-SharePoints-search-schema-from-MetaShare-settings-300x162.jpg 300w, https:\/\/help.metashare.com\/wp-content\/uploads\/How-to-access-SharePoints-search-schema-from-MetaShare-settings-1024x553.jpg 1024w, https:\/\/help.metashare.com\/wp-content\/uploads\/How-to-access-SharePoints-search-schema-from-MetaShare-settings-768x415.jpg 768w\" sizes=\"auto, (max-width: 1032px) 100vw, 1032px\" \/><\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>For each of the site columns, that you want to be able to refine\/filter on and also search on, using&nbsp;custom&nbsp;aliases, e.g. documenttype:policy,&nbsp;do the following:\n<ol style=\"list-style-type:lower-alpha\" class=\"wp-block-list\">\n<li><span style=\"background-color: var(--text-bright);color: var(--contrast)\">There are pre-created managed properties that are not mapped to any crawled properties. These properties&#8217; names start with Refinable and are searched for under the &#8220;Managed Properties&#8221; tab:<\/span><br><img loading=\"lazy\" decoding=\"async\" width=\"322\" height=\"188\" class=\"alignnone\" style=\"background-color: var(--text-bright);color: var(--contrast)\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-455.png\" alt=\"Search for managed properties\">\n<ol style=\"list-style-type:lower-roman\" class=\"wp-block-list\">\n<li><span style=\"background-color: var(--text-bright);color: var(--contrast)\">for text based columns (managed metadata, people or groups, choice or single line of text), search for &#8220;RefinableString&#8221;. In MetaShare, the filter will show each and one of the text values and look something like this:<\/span><br><img loading=\"lazy\" decoding=\"async\" width=\"208\" height=\"180\" class=\"wp-image-10076\" style=\"color: var(--contrast)\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/Text-filter.png\" alt=\"Text filter\"><\/li>\n\n\n\n<li>for date columns, search for &#8220;RefinableDate&#8221;. In MetaShare, the filter will show ranges of dates and look something like this:<br><img loading=\"lazy\" decoding=\"async\" width=\"242\" height=\"187\" class=\"wp-image-10074\" style=\"color: var(--contrast)\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/Date-filter.png\" alt=\"Date filter\"><\/li>\n\n\n\n<li>for number columns, search for &#8220;RefinableInt&#8221;. In MetaShare, the filter will show ranges of numbers and look something like this:<br><img loading=\"lazy\" decoding=\"async\" width=\"223\" height=\"124\" class=\"wp-image-10078\" style=\"color: var(--contrast)\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/Number-filter.png\" alt=\"Number filter\"><\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Click on a managed property with no &#8220;Mapped Crawled Properties&#8221;:<br><img loading=\"lazy\" decoding=\"async\" width=\"854\" height=\"129\" class=\"wp-image-9431\" style=\"width: px\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/Managed-properties-without-mapped-crawled-properties.jpg\" alt=\"Managed properties without mapped crawled properties\" srcset=\"https:\/\/help.metashare.com\/wp-content\/uploads\/Managed-properties-without-mapped-crawled-properties.jpg 854w, https:\/\/help.metashare.com\/wp-content\/uploads\/Managed-properties-without-mapped-crawled-properties-300x45.jpg 300w, https:\/\/help.metashare.com\/wp-content\/uploads\/Managed-properties-without-mapped-crawled-properties-768x116.jpg 768w\" sizes=\"auto, (max-width: 854px) 100vw, 854px\" \/><\/li>\n\n\n\n<li>To be able to search using the document property,&nbsp;e.g. keyword:gdpr,&nbsp;provide an &#8220;Alias&#8221; for the property:<br><img loading=\"lazy\" decoding=\"async\" width=\"408\" height=\"171\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-459.png\" alt=\"Provide the managed property an &quot;Alias&quot;\">\n<ol style=\"list-style-type:lower-roman\" class=\"wp-block-list\">\n<li>Aliases may not contain spaces, so the alias for &#8220;document type&#8221;&nbsp;could&nbsp;be &#8220;DocumentType&#8221;.<\/li>\n\n\n\n<li>Aliases may contain&nbsp;international characters such as \u00e5, \u00e4, \u00f6, etc.<\/li>\n\n\n\n<li>If multiple aliases are to be provided separate them with semicolon (;) without any spaces, as the example above.<\/li>\n\n\n\n<li>Aliases need to be unique in the search schema, so an alias cannot be used in multiple managed properties.<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Click on &#8220;Add a Mapping&#8221;:<br><img loading=\"lazy\" decoding=\"async\" width=\"870\" height=\"220\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-460.png\" alt=\"Add mappings to crawled properties\"><\/li>\n\n\n\n<li>Search for the <a href=\"https:\/\/help.metashare.com\/en\/faq\/how-do-i-find-a-columns-internal-name\">site column&#8217;s&nbsp;internal name<\/a>:<br><img loading=\"lazy\" decoding=\"async\" width=\"414\" height=\"207\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-466.png\" alt=\"Search for the site column's&nbsp;internal name\">\n<ol style=\"list-style-type:lower-roman\" class=\"wp-block-list\">\n<li>If you can\u2019t find your crawled property, it is possible that it hasn\u2019t been created yet. This could be because no document has yet been tagged on the specific metadata. Note that a new search crawl starts every 15 minutes. If your workspaces are configured for&nbsp;<a rel=\" noopener\" href=\"https:\/\/help.metashare.com\/en\/faq\/how-do-i-set-up-draft-item-security-in-a-workspace\/\">item draft security<\/a>, please note that these documents first need to be published before they will be crawled by SharePoint and before SharePoint creates a crawled property for these site columns.<\/li>\n\n\n\n<li>Depending on property type chose the appropriate one:\n<ul class=\"wp-block-list\">\n<li>for text based columns (managed metadata, people or groups, choice or single line of text) and number columns, select the crawled property that begins with &#8220;ows_&#8221;, e.g. &#8220;ows_keyword&#8221; if the internal name of the column is &#8220;keyword&#8221;.<\/li>\n\n\n\n<li>for date columns, select the crawled property that begins with &#8220;ows_q_DATE_&#8221;, e.g. &#8220;ows_q_DATE_meetingdate&#8221; if the internal name of the column is &#8220;meetingdate&#8221;.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>If you have several columns for e.g. document types or keywords, and want to be able to refine or search for any of these, regardless of which column they are in, then add all of their crawled properties to the managed property.<\/li>\n\n\n\n<li>For these standard SharePoint columns use the following crawled properties:<br> <table> <tbody> <tr> <td>Column\/refiner<\/td> <td>Crawled property, in this order<\/td> <td>Comments<\/td> <\/tr> <tr> <td>Created<\/td> <td>&nbsp;<\/td> <td>No mapping is required as SharePoint&#8217;s built in managed property (Created) is refinable.<\/td> <\/tr> <\/tbody> <tbody> <tr> <td>Created by<\/td> <td>ows_Created_x0020_By, Office:4<\/td> <td>Map the crawled property to any available RefinableString.<\/td> <\/tr> <tr><td>Modified<\/td> <td>&nbsp;<\/td> <td>No mapping is required as SharePoint&#8217;s built in managed property (LastModifiedTime) is refinable. As this managed property is mapped to several crawled properties, and therefore, in some situations can show mismatching information in relation to what is shown in the documents&#8217; properties in MetaShare\/SharePoint, it could be wise to move the ows_modified crawled property to the top of the mapped crawled properties for the Modified managed property or to map a pre-created managed property (RefinableString) to only this crawled property: ows_modified.<\/td> <\/tr> <\/tbody> <tbody> <tr> <td>Modified by<\/td> <td>&nbsp;<\/td> <td>No mapping is required as SharePoint&#8217;s built in managed property (ModifiedBy) is refinable. As this managed property is mapped to several crawled properties, and therefore, in some situations can show mismatching editors in relation to what is shown in the documents&#8217; properties in MetaShare\/SharePoint, it could be wise to move the Office:8 crawled property to the top of the mapped crawled properties for the ModifiedBy managed property or to map a pre-created managed property (RefinableString) to only this crawled property: Office:8.<\/td>  <\/tr> <tr> <td>Site\/Workspace\/Location<\/td> <td>ows_SiteName<\/td> <td>Map the crawled property to any available RefinableString.<\/td> <\/tr> <tr> <td>Content type<\/td> <td> ows_ContentType<\/td> <td>Map the crawled property to any available RefinableString.<\/td>  <\/tr> <tr><td>Title<\/td> <td>ows_title&nbsp;<\/td> <td>SharePoint&#8217;s built in managed property, &#8220;Title&#8221; is retrievable but not refinable. If you want to make &#8220;Title&#8221; refinable you need to map the crawled property to any available RefinableString.<\/td> <\/tr><tr><td>Version<\/td> <td>&nbsp;<\/td> <td>You can use SharePoint&#8217;s built in managed property (UIVersionStringOWSTEXT), but it is not refinable (which is probably not an issue as you would probably not have the need to filter on versions). If this is needed, then you need to map an available RefinableString to the crawled property called &#8220;ows__UIVersionString&#8221;.<\/td> <\/tr> <\/tbody> <\/table> You can find &nbsp;&#8220;Office:4&#8221;&nbsp;or&nbsp;&#8220;Office:8&#8221;&nbsp;by filtering on Office:<figure><img loading=\"lazy\" decoding=\"async\" width=\"522\" height=\"334\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-499.png\" alt=\"Filtering on Office to find &quot;Office:4&quot;&nbsp;and &quot;Office:8&quot;\"><\/figure><\/li>\n\n\n\n<li>Note down the name of the used&nbsp;managed property, as you will later need to know their names, when <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-define-search-properties\/\">defining the search properties in MetaShare<\/a> or when <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-a-custom-search-results-page\/\">creating a custom search results page<\/a>.<\/li>\n\n\n\n<li>Click on the &#8220;OK&#8221; button on the bottom of the page.<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>For each of SharePoint&#8217;s default document properties&nbsp;that you might not want to refine on but to be able to search on, using&nbsp;custom&nbsp;aliases, e.g. documentname:agenda, instead of filename:agenda.<br><table> <tbody> <tr> <td>Document property<\/td> <td>Managed property<\/td> <\/tr> <tr> <td>File name<\/td> <td>Filename<\/td> <\/tr> <tr> <td>Document title<\/td> <td>Title<\/td> <\/tr> <tr> <td>Document author<\/td> <td>Author<\/td> <\/tr> <tr> <td>Created<\/td> <td>Created<\/td> <\/tr> <tr> <td>Modified<\/td> <td>LastModifiedTime<\/td> <\/tr> <tr> <td>File size<\/td> <td>Size<\/td> <\/tr> <\/tbody> <\/table>Do the following:\n<ol style=\"list-style-type:lower-roman\" class=\"wp-block-list\">\n<li>In the Managed properties page, search for&nbsp;the column&#8217;s built-in property name.<\/li>\n\n\n\n<li>Open the managed property.<\/li>\n\n\n\n<li>Scroll down to the &#8220;Alias&#8221; section and add your custom aliases. If the managed property already has default aliases, first copy these to your clipboard, as these will for some reason otherwise be removed after you save your changes. You therefore need to edit the managed property a second time and paste them back as the default aliases.<\/li>\n\n\n\n<li>Click on the &#8220;OK&#8221; button on the bottom of the page <\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>If you have Single line of text\u00a0site or Multiple lines of text columns, whose values you would like to be able to search on, without using an alias as prefix, you need to make their values searchable (by default all managed metadata columns are searchable). The &#8220;Searchable&#8221; value\u00a0of the managed properties that\u00a0you customized in step 3 above, the\u00a0RefinableTYPEXX properties, cannot be set, so to make these columns searchable you need to:\n<ol style=\"list-style-type:lower-alpha\" class=\"wp-block-list\">\n<li>Create a new managed property, with a suitable name. To keep track of which managed properties you create, a recommendation is to give them a name using this syntax: [InternalName]SLT or [InternalName]MLT, e.g. ProductNumberSLT.<\/li>\n\n\n\n<li>Set the managed property&#8217;s &#8220;Searchable&#8221;:<br><img loading=\"lazy\" decoding=\"async\" width=\"349\" height=\"192\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-544.png\" alt=\"Set the managed property's &quot;Searchable&quot;\"><\/li>\n\n\n\n<li>Add a Mapping to the column&#8217;s&nbsp;crawled property, as described in step 2d above.<\/li>\n\n\n\n<li>Click on the &#8220;OK&#8221; button on the bottom of the page.<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>After mapping the managed properties the changes will be applied to the index first after the next full crawl.
