{"id":90,"date":"2020-02-17T16:12:55","date_gmt":"2020-02-17T15:12:55","guid":{"rendered":"https:\/\/help.metashare.com\/metashare-help-admin-manual-how-to-create-and-define-the-document-templates-library\/"},"modified":"2025-06-02T16:16:21","modified_gmt":"2025-06-02T14:16:21","slug":"how-to-create-and-define-metashares-document-templates-library","status":"publish","type":"page","link":"https:\/\/help.metashare.com\/en\/metashare\/get-started\/document-templates\/how-to-create-and-define-metashares-document-templates-library\/","title":{"rendered":"How to create and define MetaShare&#8217;s document templates&#8217; library"},"content":{"rendered":"\n<p>To be able to&nbsp;<a href=\"https:\/\/help.metashare.com\/en\/usermanual\/how-to-create-a-document\/\">create documents&nbsp;<\/a>from within MetaShare&#8217;s user interface, a document library for MetaShare\u2019s document templates needs to be created, configured and defined.<\/p>\n\n\n\n<p>Below you find instructions for how to:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-and-define-the-document-templates-library\/#create-the-document-templates-library-and-set-appropriate-permission\">Create the document templates&#8217; library and set appropriate permissions<\/a> <\/li>\n\n\n\n<li><a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-and-define-the-document-templates-library\/#add-document-columns-to-the-templates-library\">Add document columns to the templates&#8217; library<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-and-define-the-document-templates-library\/#define-the-path-to-the-document-templates-in-metashare\">Define the path to the document templates, in MetaShare<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-and-define-the-document-templates-library\/#make-the-metashare-templates-available-from-office-applications\">Make the MetaShare templates available from Office applications<\/a><\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Create the document templates&#8217; library and set appropriate permission<\/h2>\n\n\n\n<p>In order to make the templates easily accessible to the template editors, our recommendation is to <a href=\"https:\/\/help.metashare.com\/en\/usermanual\/how-to-create-a-workspace\">create a MetaShare workspace<\/a> for your&nbsp;document templates, based on a unique <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/definition-of-workspace-configurations\/\">workspace configuration<\/a> that makes it easy to find and structure the templates.<\/p>\n\n\n\n<p>The document template&#8217;s can however be stored in any SharePoint site, e.g. a specific document library in the <a href=\"https:\/\/help.metashare.com\/en\/get-started\/definition-of-columns-and-content-types\/#definition-of-the-content-type-hub\">content type hub<\/a>, or a specific standard SharePoint site collection. Regardless of where the templates are stored, all users need read permissions to the library where they are stored.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Add document columns to the templates&#8217; library<\/h2>\n\n\n\n<p>In order to <a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-create-smart-document-templates\/\">create smart document templates<\/a>, the document library needs to have the columns that should be added to the templates. If the templates are located in a MetaShare workspace this step might not be needed, as MetaShare automatically adds document columns to the document library, but only the document columns that belong to the workspace configuration&#8217;s content type(s). To add document columns to the templates&#8217; library, do the following:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the document library&#8217;s settings by clicking on &#8220;Site contents&#8221; on the left navigation, then clicking on the ellipsis (three vertical dots) and selecting the &#8220;Settings&#8221; option:<br><img loading=\"lazy\" decoding=\"async\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-338.png\" alt=\"Open the document library's settings\" width=\"500\" height=\"338\"><\/li>\n\n\n\n<li>Under the &#8220;Columns&#8221; section, click on the &#8220;Add from existing columns&#8221; link:<br><img loading=\"lazy\" decoding=\"async\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-346.png\" alt=\"Link to &quot;Add from existing columns&quot;\" width=\"500\" height=\"247\"><\/li>\n\n\n\n<li>To make it easier to select the applicable columns to add, select the applicable site column group. Select the applicable columns, click on the &#8220;Add&#8221; button and then on the form&#8217;s &#8220;OK&#8221; button.<br><img loading=\"lazy\" decoding=\"async\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-348.png\" alt=\"Add columns from existing site columns\" width=\"500\" height=\"355\"><\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Define the path to the document templates, in MetaShare<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Once the document template library has been created, copy the path to the document library and paste it into the &#8220;Document template library&#8221; field in <a href=\"https:\/\/app.metashare.com\/#\/settings\" target=\"_blank\" rel=\"noopener noreferrer\">MetaShare\u2019s general settings<\/a>:<br><img loading=\"lazy\" decoding=\"async\" width=\"500\" height=\"65\" class=\"alignnone\" src=\"https:\/\/help.metashare.com\/wp-content\/uploads\/image-275.png\" alt=\"The &quot;Document template library&quot; field in MetaShare\u2019s general settings\"><\/li>\n\n\n\n<li><a href=\"https:\/\/help.metashare.com\/en\/adminmanual\/how-to-manage-metashares-document-templates\">Add meaningful templates<\/a> to the document template library.<\/li>\n\n\n\n<li>A &#8220;New&#8221; function will now be visible in the toolbar inside workspaces, displaying all templates in the document template library. Click it to <a href=\"https:\/\/help.metashare.com\/en\/usermanual\/how-to-create-a-document\/\">create documents<\/a>.<\/li>\n<\/ol>\n\n\n\n<div class=\"wp-block-group has-accent-2-background-color has-background\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<h2 class=\"wp-block-heading\">Get started with PnP Powershell<\/h2>\n\n\n\n<p>This page contains code snippets for PnP PowerShell, a module from the Patterns and Practices community with many useful commands for managing Microsoft 365.<\/p>\n\n\n\n<p>To get started you need to:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><a href=\"https:\/\/learn.microsoft.com\/en-us\/powershell\/scripting\/install\/installing-powershell-on-windows\" target=\"_blank\" rel=\"noreferrer noopener\">Install PowerShell 7<\/a> on your machine<\/li>\n\n\n\n<li><a href=\"https:\/\/pnp.github.io\/powershell\/articles\/installation.html\" target=\"_blank\" rel=\"noreferrer noopener\">Install the PnP.PowerShell module<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/pnp.github.io\/powershell\/articles\/registerapplication.html\" target=\"_blank\" rel=\"noreferrer noopener\">Register an app in Entra ID<\/a> that PnP.PowerShell can use for authentication <\/li>\n\n\n\n<li>Start PowerShell 7 from the start menu (or run pwsh.exe). PnP.PowerShell is imported automatically.<\/li>\n\n\n\n<li>Connect to your SharePoint site using:<br><code>Connect-PnPOnline `<br>-Interactive `<br>-Url \"https:\/\/[tenant].sharepoint.com\/\" `<br>-ClientId \"[Your PnP PowerShell App Id, found in Azure Portal]\"<\/code><\/li>\n\n\n\n<li>Run any of the available <a href=\"https:\/\/pnp.github.io\/powershell\/cmdlets\/index.html\">commands<\/a><\/li>\n<\/ol>\n<\/div><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Make the MetaShare templates available from Office applications<\/h2>\n\n\n\n<p>The document templates that are uploaded to MetaShare&#8217;s template library can also be made available from Office applications (Word, Excel and PowerPoint), if users also want to create documents from there, but only the &#8220;real&#8221; document templates will be shown (.dotx, .potx, .xltx). This is done by designating the template&#8217;s library as the central location for organization assets across your tenant, using PowerShell, by following these steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open PowerShell (click on the computer\u2019s start button and type \u201cPowerShell\u201d) and start the application.<\/li>\n\n\n\n<li>Connect to SharePoint with this PnP PowerShell command (replace &#8220;[tenant]&#8221; with your tenant):<br><code><code>Connect-PnPOnline `<br>-Interactive `<br>-Url \"https:\/\/[tenant].sharepoint.com\/\" `<br>-ClientId \"[Your PnP PowerShell App Id, found in Azure Portal]\"<\/code><\/code><\/li>\n\n\n\n<li>Make sure that &#8220;Everyone except external users&#8221; group has Read permissions on the library where your templates are located.
